Give each enquiry a clear next step
Start with a customer record and a short description of the requested work. Record the site address separately from the customer’s contact details, then note whether the next step is a call, inspection, quote or booking. A clear status prevents new enquiries from being mixed with confirmed work.
Connect the quote to the job scope
A quote should state what is included, what is excluded, any assumptions and how changes will be handled. When the customer approves it, use the same scope and customer record to prepare the job. Keep variations visible so the team is not working from an old description.
Schedule the work with realistic travel and preparation time. If the date changes, update the job record and let the customer know rather than relying on a private calendar note.
- Use a consistent job status such as enquiry, quoted, approved, scheduled, in progress and complete.
- Keep photos, checklists and notes with the job when they help the team.
- Record completion and any customer-approved changes before invoicing.
Close the loop with the invoice
Prepare the invoice from the completed scope, check the customer and due-date details, and retain a copy with the job. Follow up overdue invoices respectfully and record the result. Tax and GST treatment should be confirmed for your circumstances.
